How It Works

Choose payroll with an insider’s perspective.

Tell us how your business runs payroll and what you need from a provider. InsiderMatch, our guided payroll finder, will compare providers against those needs, explain the trade-offs, and turn your priorities into a personalized Demo Guide.

Our team brings decades of combined experience inside national payroll, HR, and workforce companies. We use that experience to ask questions a feature checklist can miss—and explain what the answers mean for your business.

How you get to the right provider for you
  1. Share your payroll needs

The payroll work, the help you want and the systems a provider has to connect with.

  2. Understand your options

Where providers fit your needs, the trade-offs and the details still to confirm.

  3. Take better questions into demosBy email

A personalized Demo Guide with what to ask each provider to show and confirm.

The same checkmark can mean very different work.

Two providers can list the same feature and leave your team different work.

Integrates with time tracking
What insiders look forDo approved hours move into payroll without retyping, and who fixes it when an entry is wrong?
Live support
What insiders look forWhen can you reach someone, who owns the fix if a run goes wrong, and does anyone manage the recurring work, or is that still yours?
Multi-state payroll
What insiders look forDoes it register and file in each state you pay in, or calculate the tax and leave the state accounts to you?
What you’ll get

Know which providers fit your payroll—and what to ask in the demo.

A listed integration doesn’t tell you how much work it leaves with you. Here’s how your answers become a provider assessment and specific questions for your Demo Guide.

  1. 1 · You tell us

“We use a time app. We don’t want to type approved hours into payroll again.”

  2. 2 · What insiders look for

Does the connection import approved hours? How are corrections handled—and what still needs manual entry?

  3. 3 · Your assessment shows

Which providers support that connection, where you’d still re-enter hours, and what we haven’t confirmed.

  4. 4 · In your Demo Guide

“Show us approved hours moving from our time app into payroll. If a timecard changes, what do we have to fix ourselves?”

A Demo Guide with questions worth a demo’s time

Ask them to show you
An approved timecard moving from your time app into payroll, including how a wrong entry gets corrected.
Pin down
Who answers a state tax notice, and what’s left for you to do.

You’ll use it across several demos, so it’s the only thing tied to your email.

What we ask

We ask about the work, not just the headcount.

Twelve employees can mean one salaried run or hourly staff in three states. Our experience decides which details we ask about.

Workforce
Pay types and work states. Each adds tax rules and filings a provider must handle.
Payroll operation
Pay schedules, off-cycle runs and how changes reach payroll, where errors get in.
Service needs
Self-service, reliable live help, a dedicated contact or managed payroll administration. Each puts the work in different hands: a support line isn’t someone managing your payroll. Broader HR, ASO or PEO-style help is explored separately from an ordinary payroll-software comparison.
Connected systems
Timekeeping, accounting and benefits tools. A weak handoff means rework every pay period.
Must-haves and constraints
What a provider must do now, and the limits you’re working within.
Priorities and preferences
What matters most when several providers can do the job. These separate close options without overriding a must-have.
What you’re not sure about
Answer Not sure or skip. If the gap could change which providers fit, InsiderMatch asks again.
How providers are weighed

Your needs first, then the evidence.

Our experience shapes what InsiderMatch looks for and how it explains trade-offs. It never stands in for documented evidence about a provider.

  1. 01

    Must-haves come first

A provider that can’t meet a current requirement doesn’t move forward, whatever its popularity or what it pays InsiderRead.

  2. 02

    Evidence over reputation

Each need is checked against documented provider evidence. Reviews can add context; they don’t decide fit.

  3. 03

    Unverified stays visible

If a provider detail can’t be confirmed, it’s flagged for you to verify. It never quietly becomes a yes or a no.

  4. 04

    Trade-offs said out loud

Your priorities separate providers that can do the job, and each compromise is named. No winner is forced.

When results open

See your results when we have enough information—not after answering every question.

While you answer

You see what’s been learned and what’s still open. No provider names yet, so nothing steers you early.

Enough to stand behind

Your must-haves can be applied, the options can be told apart, and nothing you haven’t answered could change which providers fit.

Your results open

With no email. Later questions are optional; answering them can sharpen or change your assessment.

Answering every question isn’t a gate. It’s never required to see results.

If your answers change, so can your results. Add a state and InsiderMatch checks again, asking first about anything that could change who fits.

The three checks behind Recommendation Readiness
Eligibility
Enough is known to apply your current must-haves to every provider.
Separation
The remaining providers can be meaningfully told apart.
Material unknowns
Nothing you haven’t answered could change which providers qualify or which category they fall in. Provider details still to verify don’t hold results back; they’re flagged in your results.
Why this is different

Built around your decision, not a ranking.

A review site tells you what a crowd liked. InsiderMatch groups providers by fit with your needs: no ranking, no promised number, and if none fits strongly, it says so.

How InsiderRead is paid

This page carries no provider recommendations and no links to providers. When InsiderMatch recommends providers, InsiderRead may earn a commission if you choose one through a link there. Compensation never affects whether a provider qualifies, which category it belongs to, which providers make the category cutoff, or when your recommendations become available. It can affect the order providers appear within a category and which choice is highlighted when none is a strong match.
